How this time card calculator works
This weekly time card calculator turns clock-in and clock-out times into paid hours. For every day from Monday to Sunday it works out the scheduled time between the two clock times, subtracts the unpaid break you entered, and reports the result in both hours and minutes and decimal hours. The seven daily results are added together to give total weekly hours worked, which is then split into regular hours and overtime hours using the threshold and multiplier you choose. Nothing is sent to a server — the totals update as you type.
Formulas used
- Scheduled minutes = clock-out − clock-in (if clock-out is earlier than clock-in, add 24 hours for an overnight shift)
- Daily worked minutes = scheduled minutes − unpaid break minutes (break capped at the shift length)
- Total hours worked = sum of daily worked minutes ÷ 60
- Decimal hours = hours + (minutes ÷ 60)
- Overtime hours = max(0, total hours − overtime threshold)
- Regular hours = total hours − overtime hours
- Regular pay = regular hours × hourly rate
- Overtime pay = overtime hours × hourly rate × overtime multiplier
- Estimated gross pay = regular pay + overtime pay

A warehouse worker is paid $22.00 per hour, with overtime after 40 hours at 1.5×. Their week looks like this:

Total hours worked: 50h 00m (50.00 decimal hours). Saturday runs 22:00 to 06:00, so the overnight rule adds a day and counts it as 8 hours. Regular hours are 40.00 and overtime hours are 10.00. Regular pay is 40 × $22.00 = $880.00, overtime pay is 10 × $22.00 × 1.5 = $330.00, so estimated gross pay is $1,210.00 before any taxes or deductions.
Frequently asked questions
- How do I calculate hours worked on a time card?
- For each day, subtract the clock-in time from the clock-out time to get the scheduled time, then subtract unpaid break minutes. Add the seven daily results together to get total weekly hours worked.
- How does the calculator handle overnight shifts?
- If the clock-out time is earlier than the clock-in time, the shift is assumed to end the following day. A shift from 22:00 to 06:00 is counted as 8 hours, not a negative value.
- When does overtime start?
- Many workplaces pay overtime after 40 hours in a week at 1.5 times the regular rate, but the threshold and multiplier vary by country, state and contract. Both values are adjustable in this calculator.
- How do I convert hours and minutes to decimal hours?
- Divide the minutes by 60 and add the result to the hours. For example, 7 hours 45 minutes is 7 + 45/60 = 7.75 decimal hours. Payroll systems usually expect decimal hours.
- Does this calculator work out tax or take-home pay?
- No. It shows gross pay only. Taxes, deductions, benefits, pensions and other withholdings are not calculated.
- Are unpaid breaks deducted from paid time?
- Yes. Break minutes entered for a day are subtracted from that day's scheduled time. A break can never exceed the length of the shift it belongs to, so it is capped at the shift duration.
- Is my time card data saved or sent anywhere?
- No. Every calculation runs in your browser. Nothing is uploaded, stored on a server or shared, and no sign-up is required.
